AI can help prepare a campaign. Your team still needs to decide what the news is, who it is for and which results matter.

## 1. Choose one campaign goal

Start with a product launch, partnership, market expansion or expert comment. Define the audience and the action you want to support: awareness, a media conversation, a product enquiry or a better understanding of your business.

For an AI visibility campaign, choose a buyer question you want to investigate. Do not treat that question as a promised ranking target.

## 2. Create a company fact sheet

Keep the company name, website, location, description and spokesperson details current. Prepare the approved logo, supporting links and source material behind the announcement.

Agencies should maintain a separate fact sheet for each client. Decide who can approve claims, quotes and assets before drafting begins.

## 3. Prepare the release and pitch drafts

Give your [AI writing tool](/ai-writing/) a specific brief: what changed, why it matters now, dates, verified facts and an approved quote. Ask for a release with a direct headline and a factual opening paragraph.

Review the output for invented details. Then prepare a short pitch explaining why the story fits the journalist you are contacting. Keep internal notes separate from the message the journalist will receive.

## 4. Research the media list

Find journalists who have recently covered the topic. Review their articles and the publication's audience, then build a shortlist with a reason for each contact.

Use the [media list guide](/resources/build-a-media-list/) to connect research with a specific outreach angle. Check contact details before sending.

## 5. Prepare the newsroom and distribution decision

Put the approved release, company context, assets and contact details in your [media room](/media-rooms/). Check links and make sure someone can respond when the announcement goes live.

If you are buying [press release distribution](/press-release-distribution/), confirm the publication network, markets, timing, restrictions and reporting scope first. Paid syndication and independent editorial coverage should have separate lines in your plan.

## 6. Assign the outreach and follow-up

Decide who sends each pitch and who handles replies. Record the conversation in your [PR CRM](/pr-crm/), including requests for information and when a contact is not a fit.

Send through your team's approved email workflow. Personalise every message and respect opt-out requests. Do not count a template or a database record as permission to send irrelevant bulk email.

## 7. Report each result with evidence

Keep publication links, independent articles and AI answer observations separate. Include the date and relevant context so someone reviewing the report can understand what happened.

Agencies should agree the client reporting format in advance. Check which branding, sharing and export options are available in the tools you use rather than promising them in a proposal.
